The Clinical Trial Management System (CTMS) Coordinator, Provincial Clinical Trials is part of a provincial program to improve the quality of clinical trials processes and achieve better compliance with protocols, regulations and guidelines. The Clinical Trial Management System (CTMS) Coordinator assists sites with adoption and on-going sustainment of CTMS and its modules, such as eDOCS, by identifying, formalizing and implementing associated best practices; builds the trial structure and its modules in the CTMS; monitors Clinical Trials activities and makes recommendations regarding quality assurance and efficiency of performance of bargaining unit staff to Site Leadership; provides high-quality training and education; facilitates communication, collaborates and exchanges knowledge associated with CTMS and its modules; and assists users in troubleshooting issues.


What you’ll do

  • Collaborate with clinical trial teams to build the trial structure in the CTMS and its modules by utilizing the trial protocols to set up the trial framework within the system and makes any necessary amendments, such as changes related to proper system use and data entry mandates.
  • Support the development and implementation of change management activities for consistent application in all BC Cancer Centres. Assist these Centres to implement tools, best practices, standard operating procedures (SOPs), training and education activities and the on-going sustainment associated with the CTMS and its modules, such as eDOCS.
  • Provide guidance and instruction to clinical trials study team and principal investigators on the trial build in the CTMS. Liaise with all BC Cancer Centres to ensure data quality for all metrics reflected in the CTMS system by providing guidance regarding quality assurance processes.
  • Analyze data and provide metrics associated with Clinical Trial life cycles and patient workflows, including associated bargaining unit staff response and completion times, for continuous workflow process improvement. Provide feedback and training recommendations to Site Leadership based on this analysis.
  • Utilize CTMS metrics to develop reports (e.g. dashboard reports and metrics on patient accrual for individual clinical trials and research performance) and make recommendations to Site Leadership regarding data entry errors, missing data, process gaps and development, bargaining unit staff performance and training records, for the purposes of greater efficiency and Centre performance.
  • Liaise with other CTMS Coordinators across PHSA as necessary to participate and provide feedback on continuous improvement of Provincial Clinical Trials Office services and processes.

What you bring

  • A level of education, training, and experience equivalent to a Bachelor’s Degree in Public Health, Health Sciences, or a related field, plus a minimum of three years recent related experience in Clinical Trials and using Clinical Trials Management Systems (e.g., RealTime).

You will also have:

  • Sound knowledge of clinical research and clinical trial terminology and methodology understanding of clinical trials protocols and the ability to communicate with research staff.
  • Excellent interpersonal, management, coordination and communication skills, including the ability to facilitate, influence, negotiate and persuade others.
  • Strong ability to teach and train.
  • Ability to deal effectively with all levels of staff.
  • Strong analytical, critical thinking and problem solving skills.
